Our client is a leading international real estate investment management company focused on acquiring, developing and managing logistics/industrial (mainly), office, and residential properties. The company deploys value-add and core-plus investment strategies across Europe. KEY RESPONSIBILITIES AND DELIVERABLES

  • Take responsibility for the delivery of property management services in France, including monthly reporting on general operations
  • Manage, track and log all lease diary events and ensure appropriate notices are served by solicitors as needed, and in coordination with other team members. This will include the management and preparation of tenancy schedules
  • Track the risk criteria for each asset under management (legal, tax, technical) and inform the management team
  • Promote and subsequently oversee the provision of occupier services within the properties
  • Develop excellent relationships and undertake regular dialogue with all stakeholders, in particular regularly meeting and communicating with all key occupiers
  • Development: Coordinating with contractors, project managers and other professionals to oversee construction projects
  • Solicit feedback from occupiers on property management performance through informal and formal channels. Identify any areas for improvement and act upon these
  • Monitor for any occupier matters that may influence valuation/investment considerations including assistance in monitoring occupiers’ compliance
  • Understand the principal terms of occupier leases and the impact on the management of the property and the owner’s obligations
  • Ensure that the on-site staff and tenants comply with all statutory requirements, including all Health and Safety matters, Fire and Environmental Risk Assessments etc
  • Ensure the production of service specifications, contracts and associated documentation properly represents the service requirement of the property, reflect the standards expected and are presented and executed in accordance with company guidelines
  • Ensure smooth transition of relevant individual properties on acquisition or sale as appropriate
  • Follow up of the technical and legal due diligence for acquisitions to integrate in the lease agreement the conditions and commitments that the tenant will have to comply with (Sale and Lease back).

 

Finance

  • Work closely with the finance team preparation of financial reports including quarterly reports and annual budgets in respect of assets
  • Monitor raising of tenant invoices for rent and service charge working closely with the finance team in Luxembourg and finance and bookkeeping supply partner H&P
  • Check and process supplier invoices related to services provided to the assets
  • Prepare, implement monitor and control all service charge budgets and management accounts
  • Co-ordinate the input of internal resources, occupier consultation, and Landlord approval, ensuring strict adherence to the lease obligations, internal programs and codes of practice
  • Review arrears reports for both property accounting and corporate accounting, ensuring that the accounting teams are supported in the recovery of debt and that action taken is first agreed with the client
  • Prepare responses to ad-hoc quantitative and qualitative investor queries
  • In conjunction with the building management teams, ensure the procurement of all supplies and services at the property is undertaken.

 

People

  • Manage and work alongside one Property Manager
  • Oversee onsite property managers and FM and work on capex / business plans for individual assets
  • Manage and motivate external consultants as needed.

 

Experience

  • Minimum of eight years experience within Property Management
  • Understanding and experience of ICPE fire safety regulations
  • University degree / Real estate qualifications (RICS is advantageous)
  • Familiarity with property management software.
